What’s a Gift Giveaway?
Our Gift Giveaway feature allows you to offer a choice of different gifts to your recipients. You create a link to send to them, and we fulfill their order once they’ve chosen the item they want. All you need is their email address— we handle the shipping! The Gift Giveaway feature is included for free in your Swag.com account.
Gift giveaways are commonly used to send items to sales prospects, offer holiday gifts to internal teams, and lots more. This is done by creating a landing page where people can select the products they would like, enter their apparel size if applicable, and provide their address.
How to set up a Gift Giveaway:
To take advantage of the Gift Giveaway platform, you will first need to place an order that will be shipped to multiple addresses. This is done at checkout by selecting the “Distribute to Multiple Addresses” option.
Choosing this option means your products will be sent to our distribution center where they can then be shipped out to your Gift Giveaway recipients.
After the order is placed, your products will appear in the “My Inventory” dashboard. A Gift Giveaway can be started immediately after an order is placed.
Select products for a Gift Giveaway by hovering over the product cards and clicking on the pink circle on the top left. Once you have made your selections, there will be buttons that appear on the bottom of the page - including the "Create Gift Giveaway" button. You can offer one product in your Gift Giveaway or multiple, it’s completely up to you.
After "Create Gift Giveaway" is selected you will be taken to a page to name your Gift Giveaway.
You can choose to offer all the products you’ve selected to recipients, or allow them to choose only a selected few. If selecting “Offer All Products” the recipients will not need to make any selections, and will only have the option to enter their shipping address. When selecting “Give Choice” you will be able to choose how many of the selected products you would like the recipients to receive and they will be able to decide for themselves. Swag.com also requires a minimum order of 24+ items for most products, ensuring efficient storage and fulfillment. Smaller item minimums can be explored using filters in the product catalog.
You can also allow recipients to choose more than one of the same product. This is typically used when you want to use this feature to supply custom items in bulk to different offices— ex. managers making a selection for the entire team.
The Gift Giveaway can be set up to only offer the quantity of products that you have ordered, or offer an unlimited amount. Offering an unlimited amount means that an additional order will need to be placed in order to fulfill submissions that go beyond what you’ve already ordered. This can be helpful if you do not know the total amount of submissions that you expect to come in at the time the Gift Giveaway is set up.
If you are offering products that you have ordered in multiple colors, you will be able to select specific colors you’d like to offer if you don’t wish to offer all of them.
After all of these selections are made you can now customize your Gift Giveaway landing page. You are able to upload your company logo, or any other image, as well as select your background color. This page can be previewed before it’s made live so you can make sure it’s exactly as you’d like it to look.
If you’d like to change the product names and product photos, this can be done outside of the Gift Giveaway flow from the Inventory closet using the “Manage images” button and “rename” button.
You can also choose to include a notecard in with each giveaway distribution.
This note card will not need to be selected by the recipients— it will be automatically included.
The final step will be to share your Gift Giveaway with recipients. You can create and share one link with everyone, or create unique one time use links for each recipient. If you’d like to use a single link, you can simply copy the link and share with everyone. You can also only allow certain recipients with pre-approved email domains to be able to make submissions to help avoid unwanted submissions in case the link gets shared outside of your intended recipients. Note that employees are not currently able to place direct orders for company logo-branded items. Inventory must be pre-ordered and managed either through the Gift Giveaway feature or a Shopify storefront.
If you’d like to create unique one time use links for each recipient, this can be done by uploading a CSV file of the recipients’ first name and email address. We will create unique links for each recipient. You will then be able to download that new CSV file with the unique links to share with each recipient.
What happens once recipients start making their submissions?
Once products have been produced and delivered to our distribution center you will notice they will appear as “In Stock”. At this point, you will be able to ship the products to all the recipients who have made submissions so far.
This is done by selecting the “Activity” tab at the top of your “My Inventory” dashboard.
We do not ship products automatically at the time the recipient submits their info since we want to make sure you approve it first. This is helpful if you have recipients located internationally that you may not want to ship to due to the shipping costs. You can login to your Swag.com account and view who completed the Gift Giveaway submissions and the associated distribution fees required to be paid in order to ship out.
You can delete any submissions from this page as well by selecting the red trash can icon on the right side of the submission. This is useful if a recipient lets you know they would like to change their selections, or entered an incorrect address and would like to make a new submission. Shipping costs can be paid either by credit card or using Inventory Credits if you have purchased these.
If you are comfortable shipping all submissions without reviewing them first, we do have an autopay option if you have a credit card stored on file. If this is enabled, we will charge your card and process your giveaway submissions weekly on Mondays at 10 AM Eastern.
Once you pay the pending distribution fees, we will ship out the products to the Gift Giveaway recipients. Tracking information for each recipient can be found on the “Shipments” tab in your Giveaway dashboard. Complete the payment process for the shipping costs to finalize your order. Managing Inventory and Reserved Items If you are unable to locate some items, such as size M new hire gift boxes, in your inventory, it is likely that these have been reserved for recipients who submitted giveaway forms. To manage these reservations:
If you no longer wish to fulfill one of these reserved requests, you can remove the corresponding submission. This action will release the reserved inventory back into your available stock, allowing you to process other shipments. Common Troubleshooting Steps
Shipments and Inventory Visibility: If your items do not appear in inventory, check whether any reservations or holds are affecting their availability. These are often tied to specific giveaways or order submissions.
Expedited Delivery Questions: Verify that you have selected the right shipping option and confirmed payment to avoid delays.
Once you pay the pending distribution fees, we will ship out the products to the Gift Giveaway recipients. Tracking information for each recipient can be found on the “Shipments” tab in your Giveaway dashboard.
