Understanding Expiring Goods

At Swag.com, we offer the flexibility to include a variety of items in your inventory and/or in custom Swag Boxes, including certain goods that have expiration dates. If you choose to include these types of items in your order, it's important to understand our policy regarding their shelf life.

How Expiring Goods Are Managed

Our warehouse staff monitors the expiration dates of all perishable items stored in your inventory. Approximately 60 days before an item is set to expire, our team will notify you of the upcoming expiration date. At this point, you will be presented with two options for how to proceed:

  1. Distribute all items containing the expiring goods 30 days prior to their expiration date (this ensures any orders shipping to recipients are delivered prior to the expiration date).

  2. Dispose of loose inventory

  3. Submit a box alteration request to have the expiring items removed from your Boxes. This option requires you to pay an alteration fee, and the remaining items can continue to be stored in your inventory. It's important to note that expired goods cannot be shipped from our fulfillment center.

If No Action Is Taken

If any of the above options is acted upon by 30 days prior to the expiration date, your Swag.com account will be frozen. Should this occur, you will need to reach out to a Customer Success representative for assistance. The remaining option at this stage would be to pay a de-kitting fee to have the expired items removed from your Boxes, which would then unfreeze your account. Loose inventory items will be disposed of, but your account will remain active.

Important Considerations for Box Alterations

Altering Boxes that have already been kitted can impact the integrity and quality of the completed product. There are risks involved, including potential damage to the boxes and the items within them, as well as the possibility of items being lost or misplaced during the process.

If you wish to submit an alteration request for completed Boxes, please note the following:

  1. Alteration requests are considered on a case-by-case basis and are not eligible for prioritization to meet specific in-hand dates.

  2. Requests will generally only be considered for a quantity of 5 or more Boxes.

  3. The Boxes must not have been previously altered.

  4. You must agree to pay the alteration fee, which varies based on the quantity of Boxes being adjusted. The pricing structure is as follows:

    1. $10 per box for 5-14 Boxes

    2. $5 per box for 15-23 Boxes

    3. $3 per box for 24+ Boxes

During the box alteration process of removing an expired product, no other changes (such as adding, substituting or replacing items) are permitted for those Boxes. They also will not be eligible for future changes that require additional kitting, like changing a notecard or adding a new product. To submit an alteration request, please contact your Swag.com representative with your order number, the nature and reason for the alteration, and the quantity of Boxes to be altered.
